HR/ Payroll and Operations Assistant – Fixed Term Appointment 12 months

Overview of Responsibilities

    This role requires employees to complete an online Baseline Personnel Security Standard (BPSS) , including The Disclosure & Barring Service (DBS) checks for criminal convictions.

    As HR/ Payroll and Operations Assistant, you will play a pivotal role in

    • Being responsible for managing the end-to-end payroll system processes for all UKAEA employees within the ERP system. From creating the system records, maintaining the records, advising and improving on the processes to ensure that outsourced payroll and pension providers have accurate data enabling them to deliver true monthly payments and pension forecasts. 
    • Being accountable for co-ordinating a wide variety of payroll actions in line with fixed deadlines and governance requirements. Responsibilities include liaising with management, employees and business partners/advisors, calculating salary amendments, producing letters to reflect the amendments and peer review of team pay actions to ensure accuracy and provide correct information to the individual.   

    Additional Responsibilities:

    • Provide professional advice and support to employees and managers on the application and interpretation of People related processes and procedures.   
    • Manage the People Department service management system (helpdesk) on a rota basis, responding to employee requests and issues, distributing sensitive queries to Finance, Procurement, Business Systems and other areas of the People team. Ensuring queries are allocated and responded to in a timely manner and treated in accordance to GDPR regulations.  
    • Responsible for the internal relocation process, in respect of reviewing relocation claims from new starters, issuing relocation acceptance letters and guidance interpretation and advice within government guidelines. Calculation of relocation recovery for leavers, liaising with the Finance team and employees with relation to salary recovery and repayment plans.  
    • Carry out new starter inductions, providing useful information on a variety of areas relevant to processes, systems, entitlements, benefits and pension to ensure a smooth and welcoming onboarding process. Being the first point of support for new starters and assisting with queries they may have.  
    • Process Added years, AVCs, Partial Retirement and Retirement requests in line with UKAEA’s pension scheme regulations. Support and guide employees with pension related queries and calculations, liaising with the external pensions office.  
    • Process maternity, paternity, adoption leave and shared parental leave requests in line with UKAEA’s and statutory regulations. Support and advise employees on policies, calculations and entitlements. Ensuring the accuracy of pay data for payroll purposes.  
    • Supporting UKAEA employees with regards to producing reference letters required for Visa applications, mortgage applications and employment references.  
    • Responsible for the monthly management of probation, half and off pay, missing sick notes and unpaid leave in respect of UKAEA’s terms and conditions.  
    • Responsible for secure storage of personal data within Sharepoint, ensuring it is securely uploaded in a timely manner.  
    • Responsible for maintaining employee data in respect of annual leave balances and organisational restructures within the ERP system. A high level of accuracy is required to ensure that this is processed correctly.  
    • Continuous process improvement, identifying opportunities to simplify working practices, guidance and checklists 
    • High level of IT skills, with the ability to utilise a variety of systems

    £25,030 + excellent benefits including outstanding pension
